When a stay is not going ahead, cancel it so the bill is put right. When the pet never arrived, mark it as a no show instead, so your records show what actually happened.
Before you start
Your role needs permission to add and edit in-patient bookings. You can only cancel a stay before the pet is admitted. Once a pet is in, discharge them instead.
Cancel from the list
- Go to Bookings, then In-patient, and switch to the list view.
- Press the three dots at the end of the stay's row and choose Cancel Reservation.
- Read the box. It tells you what happens to the invoice, if there is one.
- Press Cancel reservation.
Cancel from the stay itself
- Open the stay and press Cancel Booking.
- Press Cancel Booking again to confirm.
- Check the Review Refund and Cancellation Charges box, then press Continue.
Afterwards Happy Pet takes you to the invoice screen, so you can see where the bill stands.
What happens to the money
- No invoice yet: nothing changes on the bill.
- A draft invoice: it is removed. A draft was never issued, so nothing comes off the customer's account.
- An issued invoice: it is cancelled with the stay. Anything already paid goes back as the customer's credit. Use it on another bill, or refund it from their payments.
If the box says the stay cannot be cancelled, something has been raised against its invoice. It names what to do first, for example:
Credit note CN-0012 was raised against this invoice. Cancel that credit note first.
Mark a stay as a no show
- Go to Bookings, then In-patient, and switch to the list view.
- Press the three dots on the stay's row and choose Mark as No Show.
It happens straight away, with no box to confirm, so check you have the right row first. There is no button to undo it.
A no show leaves the invoice and any payment exactly as they were. If the customer paid an advance and you want to give it back, do that from their payments.
Finding cancelled stays later
On the in-patient list, set the Status filter to Cancelled. On a phone, use the Cancelled tab.
