The consent form is what the customer agrees to before their pet stays at your clinic. Until it is signed or skipped, you cannot admit the pet.

Choose what happens when you take the booking

On the Booking Details step of a new in-patient booking, under Consent Form, pick one:

  • Send Consent Form To Customer sends the customer a link on WhatsApp to sign before they arrive.
  • Take Consent on Arrival leaves it for the day itself, for customers who sign at your counter.
  • Skip agreement means no consent form for this stay.

The step opens on your business's usual choice. To change that, open your account menu, choose Business Profile, press Customer agreements, and set the Vet in-patient row under When a booking is made to Send link, On arrival or Skip. You need permission to edit Business Profile.

What the customer does

The link opens a page where the customer adds the pet's vaccine details and any health notes, ticks the agreement box, signs if your form asks for a signature, and presses Agree & Confirm Booking.

If Admit is greyed out

There are two reasons. On a phone, the stay's card says which one under the button.

The consent form is not signed or skipped yet:

Sign or skip the agreement first to admit.

Or the admission date has not arrived. The card says Admit from and the date. That one is not about the consent form, so wait for the day.

For the consent form, open the stay and look at Consent Form in the Summary panel. Agreement Status shows where it has got to, and underneath you will see some of these:

  • Re-send sends the customer the link again, when they have lost it.
  • View opens the form.
  • Add Manually lets you record it yourself, for a paper form or for somebody signing at your counter.
  • Skip Agreement goes ahead without one.

Which of them you see depends on what was chosen at booking and on how your business sends messages, so use whichever buttons you can see.

Once the form is signed or skipped, Admit works straight away. Discharge is never blocked by the consent form.

Adding it by hand

Press Add Manually. A box called Vaccination and Service Agreement opens, with one tab per pet:

  1. Under Vaccines, upload the vaccination documents.
  2. Add any Traits and Conditions and Additional Notes. Both are optional.
  3. Under Upload Service Agreement Document, add the signed paper form if you have one.
  4. Press Next Step to move to the next pet, then Save & Continue on the last one.

You will see:

Agreement signed successfully.

Skipping it

Press Skip Agreement, then Skip Agreement again in the box that asks you to confirm. This cannot be undone, and it means there is no signed record of what the customer agreed to, so only skip when you have a reason.

What each status means

Sent means the customer has the link but has not signed yet.

Pending means nothing has been signed yet, for example because the customer is signing on arrival.

Signed means every pet on the stay is signed. Nothing more to do.

Skipped means somebody chose to go ahead without one. This counts as done, so Admit works.

If the upload will not save

Vaccine photos must be images under 2MB. The agreement document can be a PDF, Word file or image under 30MB. Videos are not accepted.
