Write down money a customer has given you, and tick off the bills it clears.

Use this when the money arrives on its own: a bank transfer, cash at the counter, an advance before you have billed anything. Money taken at the moment you raise a bill is easier to record on the invoice itself.

Record the payment

  1. Go to Invoices → Payments In.
  2. Press Payment In.
  3. Under Who gave you the money, pick the customer in Payment from.
  4. Set the date under When it came in.
  5. Under How it was paid, enter the amount and the method. Money can arrive by more than one method at once, so add a second line when it did.
  6. Under Which bills does this clear?, tick the bills this money pays off.
  7. Check the Check it adds up panel. Received is what came in, Paid towards bills is what you have ticked off, and Credit left is the rest.
  8. Press Record payment.

Money you have not put against a bill

Anything you do not tick against a bill does not disappear. It stays as the customer's credit and comes off their next bill.

That is what an Advance is: money taken before there was a bill to put it against. The payments list shows these as Not applied, so you can find money still waiting to be used.

Drafts move no money

A payment saved as a Draft is a note to yourself. It does not clear any bill and it does not show as received anywhere. Finish it when the money has actually arrived.

If you recorded it wrongly

Open the payment from Invoices → Payments In and press Cancel payment. Any bills it cleared go back to being owed.
