Not everyone needs to see everything. A groomer needs today's appointments. They probably do not need your sales figures or the ability to delete a customer.
Settings opens on a computer, not on a phone.
Steps
- Go to Settings, then Roles & Permissions.
- Choose a role, or press New role.
- Tick what that role can see and do.
- Press Save changes.
Everyone with that role gets the change straight away, without logging out and back in.
Roles rather than people
Set permissions on the role, not on each person. When you hire someone new, give them the role and you are done. You do not have to remember which boxes you ticked for the last groomer.
What you can control
Permissions are grouped by area of the app: Dashboard, Bookings, Booking Requests, Reminders, Customer Enquiry, Customers, Subscriptions, Invoices, Expenses, Inventory, Rooms & Spaces, Clinic Management, Reports & Analytics, Staff Management, and Business & Settings. Use Filter modules on a role's page to jump straight to one.
Inside each group you tick individual actions, not just "can open this page". Customer records, for example, separate viewing a customer from exporting the customer list, so you can let someone look a customer up without handing them a full data export.
The roles you start with
Every account starts with Store Manager, Sub Admin, Groomer, Driver, Doctor, Nurse and General Staff, plus Owner, which always has every permission and cannot be changed.
The built-in roles cannot be renamed or deleted, so nobody loses the role they are relying on by accident. Their permissions can still be edited freely, so if "Groomer" does not match how your team actually works, change what it can do rather than starting from scratch.
Press New role to add your own on top of these, named however makes sense for your business.
What happens if someone cannot do something
If a whole page is off limits, they get a Page Not Found screen rather than an error, so nobody can work out what exists by poking at addresses. If it is a single action rather than a whole page, the button for it simply is not there, for example someone without export access will not see an export button at all rather than seeing it fail.
Roles & Permissions is in Beta
You will see a Beta label next to Roles & Permissions while we keep improving it. Everything above works today, the label is a heads up that more is coming, not a sign to hold off using it.
If something goes wrong
If someone says a menu item or a button is missing, check their role first. Nine times out of ten it is a permission rather than a fault.
If a whole section is missing for everyone, that is different. It usually means your branch does not have that service switched on.
