Your clinic services are everything a vet does that gets booked or billed. Consultations, procedures, vaccinations and tests all live in one list, told apart by the category you give them.
Setting them up means a vet picks from a list during a visit instead of typing a name and a price from memory.
Before you start
Services are grouped by category, so your categories need to exist first. They are set up under Clinic Categories, where you can also add sub-categories under each one.
Add a service
- Go to Settings, open Catalogue & Pricing, then the Clinic tab.
- Press Add service.
- Enter the Service name.
- Choose the Category, and a Subcategory if you use them.
- Choose the Pet types it applies to.
- Set the price.
- Press Add service to save.
The category decides the rest of the form
Pick the category first, because the fields below it change to suit.
A vaccination asks Which vaccines the service covers. Something done on equipment asks which Machine used. Anything that is booked as an appointment asks for a Duration in hours and minutes.
This is also why the list shows Bill only against some services. Those are the ones their category says are not booked as an appointment. They go on a bill during a visit rather than into the diary, so they have no duration.
Naming them
Use what your team says out loud, not a billing code. The name goes on the appointment and on the bill the owner reads, so it has to make sense to somebody who is not clinical.
First visit, Follow up, Dental clean, Rabies booster. If you charge differently for a first visit and a follow up, add them as two services rather than editing one each time.
Pet types
A service set up for dogs is not offered on a cat's appointment. Add it for each pet type you treat, even where the price is the same, so the list somebody picks from only shows what applies to the animal in front of them.
More than one branch
Turn on Add to all clinic branches to put the service on every clinic branch at once. Leave it off to set it up for the branch you are working in.
The list has a branch filter at the top, so you can check what one branch offers without changing anything.
Changing or removing one
Open a service to edit it. Changes apply from that point on, so appointments already booked keep the price they were booked at, which is what you want when a customer was quoted something.
To remove one, use Delete. You are told what it affects:
will be removed from your price list. Past bookings and bills that used it are not affected.
If Add service is missing
It is hidden while a filter or a search is on, because a service added in that state would usually not be the one you meant. Clear the filters and it comes back.
You also need permission to add services. If the button is missing on a clean list, ask an admin.
